Consulting - Practice Assessment

"We think our office could operate more efficiently, but we're not sure where to start."

"We're working harder, but taking home less. We want to know why."

"We think the practice is doing okay, but want an objective evaluation of where we can improve."

Do you have the right number of people, doing the right jobs, at the right time? Are existing operations maximizing legitimate reimbursement? Are finances and personnel managed in the best possible way? If you aren't sure, KZA's Practice Assessment can help you determine the answers--then prioritize the steps that have the most bottom line impact. You'll learn whether the practice systems need a tune-up, whether staff responsibility changes are in order, and how to maximize revenues and practice profits.

Overall Description

KZA's Practice Assessment is "360 degree" review of the practice. Operations, reimbursement, personnel, and financial systems are all evaluated. We identify the practice areas that need attention, and where the biggest upside is. The action-oriented summary you receive provides specific, customized, step-by-step advice for addressing the most critical issues first.

The Practice Assessment is KZA's most requested service. More than 1,500 practices nationwide have engaged KZA to advise their practices in this way.

Frequently Asked Questions

"How does this service work, exactly? How much time do you spend at the practice?"

Physcians and the staff complete a comprehensive pre-consultation packet that includes staff and physician surveys, job descriptions, reports, data collection tools, and descriptions of key operational procedures. This packet can sometimes take the practice several weeks to complete. We evaluate your responses prior to visiting the practice, and communicate with key physicians and the manager if more information is required.

The on-site portion of the service typically ranges from two to four days, during which time we interview staff and physicians, conduct targeted operational observations and evaluations, and review additional data. Systems that need improvement are identified and initial findings are shared in a comprehensive physician debriefing during the last evening of the visit. Because KZA is noted for a "bias for action," we often begin implementing key recommendations as early as the last day of our on-site visit. These recommendations are then summarized and subsequently delivered in a written report.

In the four to six weeks following the visit, we are in regular phone contact with physicians and the manager. This maintains the momentum that occurs during the site visit, and allows the consultants to answer questions about key initiatives and the written report. Also included in the project fee is reasonable telephone follow up. That means we will keep in touch with you, to answer future questions about the project.

"Specifically, which business systems do you review?"

Generally speaking, we review the following business systems, but each project is customized to the needs of the client. Consultants spend more--or less--time in certain areas, depending on your practice's unique needs.

  • Billing and reimbursement processes
  • Computer system set-up and report generation
  • Operational efficiency and the use of automation
  • Financial systems and controls
  • Personnel policies and issues
  • Practice governance and business decision making
  • Managed care contract administration

"What is my investment in this service?"

The investment varies based on the number of physicians, staff, and satellite offices, as well as the complexity of the issues you want us to address. We'll furnish a fee quotation based on the information you provide on the Prospective Client Information Sheet. After you fax or mail the form to us, you'll receive a proposal that outlines the project, recommended KZA associate(s), number of on-site days, available scheduling dates, and a professional fee. In addition to the professional fee, clients pay for round-trip coach airfare, ground transportation, hotel, meals, gratuities and Federal Express.
